When a library is unable to locate an item that is not checked out and shows available in the Web catalog, the item should be marked missing. Missing status can easily be cleared by checking in the item if it is later located. When declaring an item missing as a result of the request process, library staff should also check whether their item is the last copy in BCCLS. If it is the last copy, contact the requesting patron’s library to let them know there are no more items for the request.
Libraries must periodically review their missing items and withdraw them from the collection or replace them after they have been missing for 6 months or longer. If an item is left with the status of “missing,” bib records cannot be removed from the database.
Marking an Item Missing from the “Purple List” and “Pick List”
1. To check for other available copies and mark item missing
a. copy BARCODE b. go to POLARIS ITEM RECORD and paste barcode and hit enter c. double click on highlighted record d. change circulation status from available to “missing” and save e. click on “All Item Records” to check holdings f. NOTIFY REQUESTING LIBRARY IF THIS IS THE LAST COPY
Pick List on Mobile Device Log onto LEAP using a web browser. Once in LEAP go to UTILITIES on the top green bar Tap on UTILITIES on the top green bar Tap on PICK LIST PROCESSING (This process can also be done in LEAP from any computer.)
