TRUSTEE DEVELOPMENT COMMITTEE

Present: Mike Banick (Director, Millburn), Larry Bergmann (Trustee, Livingston) Kathy Cannarozzi (Director, Rochelle Park), Patricia Durso (Executive Administrator, Allendale & committee co-chairman), Jenifer May (Director, Secaucus), Tom Madru (Trustee, Park Ridge & committee co-chairman), Darlene Swistock (BCCLS Liaison), and Mike Violano (Trustee, Westwood).
Absent: Peter Wendrochowicz (Trustee, Mahwah) and John Mongelli (Trustee, Ho-Ho-Kus).
- Call to Order:
The meeting was called to order at 10:03AM by Patricia Durso.
As this was the kickoff meeting for the 2020 committee year, members introduced themselves.
- Administrative Duties:
Responsibility for recording minutes and the future use of the myBCCLS online tool were discussed.
- New Business:
- The overall framework for planning and deploying programs in 2020 was outlined.
- The 2020 committee charges were presented and reviewed. Priorities were set. *(See detail below.)
- Meeting Schedule:
A meeting schedule for 2020 was established. The committee will have a standing monthly meeting on the first Friday of each month at 10:00AM. Additional meetings may be scheduled as the workload dictates.
The meeting was adjourned at 11:15AM.

DETAIL – COMMITTEE CHARGES:
Charge 1: Provide regional continuing education opportunities
All Trustee Development programs in 2020-2021 will fulfill this charge.
Charge 2: Partner with LAMP to present a Fine Free Event
Mr. Banick offers to facilitate the relationship between the LAMP & Trustee Development committees
Willing to participate on panel; attend & assuage concerns re: going fine free.
Roles: LAMP has put together program agenda/ Trustee Development Committee is assisting in booking panelists and attracting trustees to attend.
Charge 3: Trustee 101 Program
Ms. Swistock shares the topics that are most in demand, based on input she has received during conversations with directors and trustees:
How to ask for money – from Johnson Legislation down to smaller requests
Fundraising – (to be co-hosted by Trustee and Friends committees)
Mr. Bergmann asserts that Trustee 101 should be offered twice a year – in perpetuity, so long as appropriate topics are identified and not repeated excessively
Mr. Violano states that the timing is ripe for an online trustee workshop 101 for new board members, as they are working from home now anyway and have ability to access content remotely
Mr. Madre inquires about how many people can be online at the same time? What are limits of the technology?
Mr. Violano has used Zoom for a number of years. He believes it can accommodate up to 100 people in a meeting at a time, as long as you have a professional membership, which is not that costly.
Ms. May states that Google Meet can accommodate 30 or 50 attendees. (She will confirm.)
Mr. Banick posits that conceivably, more people would attend Trustee Development programs if they are offered online.
Ms. Swistock will check into professional membership in Zoom for BCCLS or see if a member library has it.
Charge 4: Co-host with Friends Committee a program on fostering thriving Friends groups
& strengthening relationships with library board, director, staff, and the public
The committee chairs will follow up with Ellen O’Keefe and Jen May on joint effort.
Ms. Swistock asks that this endeavor emphasize the fundraising aspects of the Friends, since the most requested program BCCLS receives regarding Friends groups is creative ways to raise funds.
Ms. May says that, particularly now, it is important to concentrate on small group & online fundraising appeals, since people cannot get together.
Charge 5: Ensure key stakeholders stay informed
Local government representatives, particularly the Bergen County Freeholders, per Stephanie Bellucci, are to be apprised of BCCLS events and the ways in which we are bringing value to their constituents. A letter is being drafted by the Advocacy Committee to champion libraries getting monetary support when allocations for community coronavirus relief are made.
Charge 6: How to conduct a successful ballot campaign
Mr. Madru has conferred with Mahwah Library director Kurt Hadeler and Mahwah Library board trustee Peter Wendrochowicz and has been assured that they are willing to make a presentation on their successful Johnson legislation referendum.
- Ms. Durso will create a Google document to share with this committee. All members will have the ability to input ideas for an upcoming Trustee 101 program. Tentative date for Trustee 101 event: June 11, 2020.
