When a library is unable to locate an item that shows available in the catalog, mark the item missing. Missing status will automatically be cleared if the item is located later and checked in.
When declaring an item missing as a result of the request process, library staff should also check whether their item is the last copy in BCCLS. If it is the last copy, contact the requesting patron’s library to inform them that no items are available for the request.
Libraries must periodically review their missing items and withdraw them from the collection or replace them after they have been missing for 6 months. If an item is the last copy and is left with the status of “Missing”, bib records cannot be removed from the database.
Log into LEAP
Click on UTILITIES drop down menu and select PICKLIST PROCESSING
IF YOU CANNOT FIND YOUR COPY ON THE SHELF
1. Check for other requestable copies
a. Click the item’s BARCODE (Highlighted) b. Click the BIB CONTROL # c. Click the ITEMS tab to see if it is the last requestable copy in the system
2. Return to PICKLIST
a. Click [ ] to select item b. Click MISSING button
3. Email the requesting library if this is the last requestable copy

Your patron (PATRON BARCODE) requested the title (ITEM TITLE & BARCODE). We are the only library that owns this item in BCCLS; unfortunately we are unable to locate it at this time and have marked it missing. Please inform your patron that their request cannot be filled and then cancel the request.
